Switching EHRs: Transition to Jane App Explained with Cheryl Krieger

Kayla: Hi everyone. If you don’t know who I am, my name is Kayla Das, and I am a Canadian social worker, podcast host, and business coach.
Welcome to a very special conversation which will be all about switching EHRs or practice management software.
Recently, I’ve been seeing a lot of therapists in communities that I’m a part of, both American and Canadian, who demonstrate their frustration with their current EHR or practice management software, but worry about the hassle of switching.
In today’s conversation, I’m sitting down with Cheryl Krieger from Jane App, a practice management software that provides services to both Canadians and Americans.
So, hi Cheryl. Welcome.
Cheryl: Hi, Kayla. First of all, thank you so much for inviting me to chat with you today. It is an absolute pleasure and such a privilege.
Kayla: I’ve actually been with Jane since the inception of my therapy practice, so I still use it today in my coaching practice as well. So while I don’t necessarily have experience with the switching process, I can certainly share that. I wouldn’t want to be with any other practice management software because you guys are so great.
You have excellent customer service. I remember when I first started. And I had to call customer service twice, and I immediately got a human, which is really hard to find these days to actually find the human on the other end. So I love that.
You guys are always creating new features, constantly adding it to the platform. I think the best thing about Jane overall is that the platform is so user-friendly from both a practitioner standpoint and a client standpoint. So I think that’s really super important to highlight.
Cheryl: Yeah, I couldn’t agree more. I come from a professional practice background as well. Before coming to Jane, I was an esthetician for 30 years and I’ve used a few different softwares, and one of them was not Jane. When I actually started working at Jane and I had to learn the ins and outs of Jane, I thought that this was the easiest platform that I had ever set up in my life, and I can’t believe that I didn’t use it myself.
It is designed in a way that just feels intuitive and supports the day-to-day work that you do with ease.
Kayla: Absolutely. I couldn’t agree with you more. So, Cheryl, before we dive into today’s conversation about switching practice management platforms. And of course, a behind the scenes peak on what that transition looks like for therapists and counselors considering to switch to Jane, please introduce yourself, where you’re from and what you do at Jane.
Cheryl: So I’m Cheryl and I am part of the engagement team here at Jane, and what that means is that I get to support our friends in Allied Healthcare as they explore whether Jane might be the right fit for their practice. And before Jane, I was an esthetician and a business owner myself for nearly 30 years.
So I do have a deep understanding of what it’s like to run a business and wear a bunch of different hats. And I love the work that I get to do here at Jane. It allows me to connect with clinical owners and providers as they are building something meaningful that is not just for themselves, but for others as well.
Kayla: I love that. So first of all, from your experience, what are the most common reasons that therapists want to switch practice management software providers?
Cheryl: This is a great question. So from the work that I’ve done, I commonly hear that therapists are looking for something that feels more intuitive. They’re looking for a software that’s going to support their day-to-day and just doesn’t get in the way of the meaningful work they do. And they’re looking for a system that’s connected. That brings scheduling, charting, billing, and even communication all into one place. Basically, under one roof, so to speak. And further to that, everyone is just looking for solutions that are gonna save time and create space in their day. Because as we know, the real goal is really to focus more on providing meaningful quality care and less on kind of the day-to-day administrative tasks of the work that has to be done.
Kayla: Absolutely. So now this I know comes up in a lot of the communities that I’m a part of, but what are some of the fears that show up for therapists who want to switch their practice management software, but stop them from doing so?
Cheryl: Yeah, switching software, even starting a new software from scratch, it feels like a really big step. And this is something that we hear all the time. So for therapists, it’s often things like losing data. They’re scared That they’re going to lose something in that transition. They don’t want to disrupt care for their patients and their clients. And then of course there’s the financial impact of switching and I really think that is a big kind of fear and hesitation.

Kayla: I couldn’t agree with you more. I’m really thinking about, therapists who might be considering switching to Jane. How does Jane help them with the process, specifically with all those fears that you have mentioned. In other words, what can they expect during the transition period?
Cheryl: Yeah. When we’re considering the process of switching from a current EHR over to Jane, there is a timeline that takes them from consideration through to adoption, and it’s really designed to be intuitive and helpful. Most folks start with meeting Jane in one of many ways, maybe through an ad, a conference, or I know your platform and your voice, Kayla, has introduced so many people to Jane.
And then when they consider Jane, they might have a demo with someone on our team where they’re going to get a one-on-one look at Jane and any questions that come up during that conversation can be answered and they can also explore Jane on their own time through one of our public demo clinics.
There is also an extensive library of videos, webinars, and limitless other resources that are accessible through the Jane website in our Jane guide. And then when they decide that Jane is the right fit, they can go ahead and just sign up right on the Jane website. As they’re bringing over their data from their current EHR, we have a full imports team that is going to assist them with that.
They will upload their data into the imports portal, and they’re just going to come in a couple of days and everything is going to be where it’s supposed to be in their Jane clinic. Easy peasy.
We also supply them with an onboarding checklist, more helpful videos, and then of course real people that help them along the way. It’s all designed to be done at a pace that works for them.
Kayla: I think that’s really important, and I’m glad you highlighted the real people because that is one thing that really prevents people from switching practice management software’s, and in reality, many practice management software’s don’t actually have humans on the other end. So knowing that Jane has. This designated onboarding team to help people transition, I think is really important for listeners to know that you are not doing this yourself.
And I’ve heard from so many people who have switched to Jane and they swear that it was the best decision, and I definitely agree. I’ve been with Jane since the very beginning. I think it’s the best decision. But not only was it the best decision in the long run, it was super easy for them during that transition.
So if a therapist is in the midst of transitioning, but they’re feeling a little overwhelmed, maybe they’re not as techie as some other therapist out there, how does the Jane team help them specifically navigate the process and mitigate that overwhelm?
Cheryl: I think the first thing to keep in mind is that it’s okay for everyone to move along at their own pace. There is really no rush, and we know that switching systems can bring up a lot of overwhelm and emotion and frustration, and we’re here for that. If someone needs a little bit more time, a one-on-one call, or just some extra clarity on any step during the process. We’re here for that.
We do have a dedicated onboarding team, but they provide a very distinct service. General onboarding for most of our clinics is done right through our support team. And the amazing thing about that is our support team are the real experts. They’re in Jane every single day supporting our clinics and our existing users. So you are really getting top tier onboarding that’s just included with every single subscription option.
So our support team, they’re the heart of Jane and they’re made up of genuinely kind, helpful people who are ready and just waiting to walk through it with you. So no pressure. It’s really just a solid partnership.
Kayla: Do you have any additional advice, tips, or insights for listeners who are considering transitioning to Jane?
Cheryl: So my biggest kind of little bit of advice or my little bit of care and help is that the biggest thing for anyone who is considering making the move is that they’re not going to be going at this alone. Our team is with them right from the start.
So we provide a combination of self-guided resources, hands-on human support through those one-on-one onboarding calls. And we’re here to help with setting up the account. We have a great team dedicated to importing data, and then for clinics that are looking for a more bespoke onboarding experience, we do also have that dedicated onboarding option where they get connected with a team that works with them over a set period of time leading up to their go live date. That option also includes support on the go live date.
And our support doesn’t end once you’re onboarded. We have that amazing dedicated support team that’s available by phone, chat, and email.
